Wedding Coordination 

This package is for the couple who has booked all their vendors, made all the decisions, and sent out the invitations, but would like a professional to step in at that final month and oversee all the details.  I will walk you through a full review of your wedding and act as the primary point of contact with all your vendors. I review all your contracts, work with you to create a comprehensive timeline, and confirm the final details with your vendors in the week prior to your wedding.  I will be there for your rehearsal – and I do not leave your event until you and your guests do.  Services begin one month before your wedding.

  • Three in-person planning meetings:

    Meeting 1 - Preliminary meeting to kick off the coordination process (scheduled within 2 months of wedding date)

    • Gather and review all contracts

    • Understand the big picture of your wedding day

    • Begin drafting the wedding day timeline

    Meeting 2 - Four weeks prior to wedding date 

    • Review ceremony and reception details

    • Review vendor contracts and rental orders

    • Review and proof BEO provided by catering manager

    • Discuss design & décor details and review arrangements and logistics

    • Finetune the wedding day timeline

    Meeting 3 - Seven to 10 days prior to wedding date

    • Finalize ceremony and reception details

    • Ceremony and reception venue walk through

    • Review floor plans, table count, guest list and seating assignment

    • bReview detailed day-of plans

    • Finalize day-of timeline

    • Tie up any loose ends

    • Unlimited communication related to all wedding details for the entire month prior to wedding date

    • Weekly updates of your day-of timeline and vendor confirmations

    • Create an all-inclusive wedding day timeline

    • Create a condensed pocket schedule for wedding party and family 

    • Create a detailed load-in/load-out event timeline for all vendors

    • Coordinate and confirm day-of logistics with all wedding vendors

    • Create a vendor contact list and comprehensive load-in/load-out event timeline

    • Communicate and distribute final timeline and vendor contact list to all vendors week of wedding

    • Oversee wedding ceremony rehearsal

    • Collect and transport wedding items to the ceremony/reception site  

    • Act as the primary point of contact on the day of the wedding for all vendors and wedding party

    • Complete coordination of wedding with one assistant coordinator

    • Greet and direct all on-site vendors

    • Manage set-up of both the ceremony and reception sites

    • Oversee all details before and during the ceremony

    • Ensure correct setup of ceremony site (sound check, floral, lighting, programs, chairs, etc.)

    • Ensure correct setup of cocktail hour and reception including guest book, escort/place cards, family photos, tables, chairs, linens/napkins, floral, menus, table numbers, dance floor, DJ/band staging, favors, gift table, etc.

    • Placement of personal items including programs, readings, family photos, unity candle, guest book, toasting flutes, cake knife & server set, table numbers, escort/place cards, menus, favors, gifts, bride’s clutch etc.

    • Coordinate with photographer for first look photos and properly timed all other photography

    • Assist with gathering wedding party and family members for pictures as needed

    • Direct ushers with seating of guests and program distribution

    • Pin boutonnieres and corsages, hand out bouquets, assist with flower girl/ring bearer items

    • Welcome and assist guests with any special needs or questions throughout the day

    • Cue officiant, musicians, and bridal party at the ceremony

    • Escort late arriving guests to available seats

    • Bustle wedding gown after ceremony

    • Transfer any personal/décor items from ceremony to reception venue

    • Oversee all symbolic/religious events during the reception

    • Coordinate with the DJ or BAND to ensure smooth flow of all announcements including Grand Entrance, Blessing, Toasts, Cake Cutting and Special Dances

    • Distribute final payments and/or gratuities to vendors on your behalf

    • Secure cards and gifts with a designated family member, hotel room or off-site location

    • Collect all personal items and prepare them for transport

    • Coordinate teardown

    • Vendor follow-up to confirm all rentals have been returned and outstanding issues have been addressed
